What we collect, and what we do with it.

Three forms on this site collect personal information, and a session collects a little more in the room. This says what each one takes, why, and how to get rid of it. It is written to be read rather than to be survived.

Who we are

makeout runs hands-on craft sessions inside offices in London. We are three founders, and we are the data controller for the information described here — except where a session is run for a client, in which case see “People who attend a session”.

Contact us about anything on this page at hello@makeout.fyi and a person will answer.

If you enquire about a session

The forms on this site ask for your name, work email and company, roughly how many people are in the team, and optionally whose budget it would sit in, what you are looking for, what you want the team to work on, and any notes you add. We also record which page the enquiry came from.

We use it to reply to you and to run the conversation that follows. We do not add you to a mailing list, we do not sell it, and we do not use it for advertising.

If you apply to run sessions with us

We ask for your name, email, what you make, a few lines about how you teach it, and optionally a website, an Instagram handle and a photograph. We use it to decide whether to work with you and to get in touch. If we take you on, it becomes your entry on our facilitator roster. If we do not, we keep the application on file so that a repeat application is not treated as a new one. Ask us to delete it and we will.

People who attend a session

When a session runs, people in the room are asked for a first name and a team, and at the end one question about how many people there they had not properly spoken to before, plus an optional free-text answer. We do not ask for surnames, and we do not ask for email addresses.

Where a session is run for an employer, that employer is the data controller for their staff's information and we process it on their instructions under a data processing agreement.

What the employer receives is deliberately limited. Attendance is reported by team. Answers and quotes are never attributed to a person, and no team is shown separately unless at least 4 of its people took part — below that it is folded into the totals, because a smaller group's average is close enough to naming somebody.

Where it is kept

Everything is stored in the EU. Our database is Supabase, hosted in eu-west-1. Images are stored in Cloudflare R2. Transactional email — the notification we get when you enquire — is sent through Resend, also in eu-west-1. The site itself runs on Cloudflare.

Access is limited to the three people who run makeout. Facilitators see only the session they are running: the first names and teams of people in that room, on a link that expires with the session.

How long we keep it

Enquiries are kept while the conversation is live and for as long as there is a working relationship afterwards.

For people who attend a session, the only identifying thing we hold is a first name and a team, linked to which sessions they came to and what they answered. That link exists so one person's attendance joins up across the three sessions in a block. Once the block is finished it has done its job.

Twelve months after a programme ends we clear the first name — and the email address, in the rare case a client asked us to collect one. That runs automatically on a schedule, not when somebody remembers.

The team, the attendance and the answers stay, because that is the record the client bought and none of it says who anyone was. A team name on its own identifies nobody, and no team is ever shown in a report with fewer than 4 people in it. Ask us to remove yours sooner and we will.

Your rights

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email hello@makeout.fyi and we will do it. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.

Booking terms

Nothing is bought on this site, so there is nothing to agree to here. Dates, cancellation, payment terms and what happens if a facilitator cannot make it are set out in the proposal we send you, and are agreed there before anything is booked.
